The type of personal information we collect
We currently collect and process the following information:
- Full name
- Phone number and email address
- Home address and postcode
- Property details (homeowner status, number of bedrooms, roof type, existing solar)
- Approximate monthly electricity bill
- Service interest and any message you send us
- SMS opt-in preference and appointment date/time if you book a call
How we get your personal information and why we collect it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
- You requested a free solar quote using our online calculator or quote form.
- You booked a consultation call with our team.
- You contacted us by phone, email or text in response to one of our messages.
We use the information that you have given us to prepare your quote, contact you about your enquiry, arrange and remind you about your consultation call, and (if you go ahead) to plan and deliver your installation.
We may share this information with trusted service providers who help us run our business - for example our SMS provider (Twilio), our calendar provider (Google Calendar) and our hosting/database provider - strictly so they can deliver services on our behalf.
Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:
- Consent - for marketing SMS messages. You can withdraw consent at any time by replying STOP to any message or by visiting our SMS preferences page.
- Legitimate interest - to prepare your quote, follow up on your enquiry and contact you about your appointment.
- Legal obligation - where we are required to keep records (for example for tax or warranty purposes).
How we store your personal information
Your information is securely stored in our cloud database, hosted in the UK/EU region with encryption in transit and at rest. Access is restricted to authorised staff only.
We keep enquiry and quote information for up to 24 months from your last contact with us. If you become a customer, we keep installation records for up to 7 years to meet warranty, regulatory and tax obligations. After this period we securely delete your personal data from our active systems and backups.
Your data protection rights
Under data protection law, you have rights including:
- Your right of access - you have the right to ask us for copies of your personal information.
- Your right to rectification - you have the right to ask us to rectify information you think is inaccurate or to complete information you think is incomplete.
- Your right to erasure - you have the right to ask us to erase your personal information in certain circumstances.
- Your right to restriction of processing - you have the right to ask us to restrict the processing of your information in certain circumstances.
- Your right to object to processing - you have the right to object to the processing of your personal information in certain circumstances.
- Your right to data portability - you have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you. Please contact us at info@megarenewables.co.uk if you wish to make a request.
